Position Overview:

As our Fleet Manager, you’ll oversee the full lifecycle of our service vehicles and be the go-to person for fleet readiness, compliance, maintenance, and inventory control. You’ll ensure our technicians are always equipped with safe, well-maintained vehicles and properly stocked tools and materials. You'll also help streamline operations by managing vehicle records, driver support, and inventory logistics.

You’ll work closely with the Director of Fleet & Safety, enabling them to focus on strategic initiatives while you manage the day-to-day.

Requirements:
  • Schedule and coordinate preventive maintenance, repairs, recalls, and inspections for light and heavy-duty vehicles
  • Communicate with vendor partners to ensure timely, cost-effective service
  • Track and review fuel card usage and investigate irregularities
  • Maintain updated logs on vehicle assignments, mileage, and condition
  • Oversee vehicle onboarding/offboarding, including decals, GPS, registration, keys, and upfitting
  • Assists departments with vehicle field preparation as needed

Compliance & Records:

  • Maintain accurate records for registrations, titles, insurance, and inspections
  • Support DOT & FMCSA compliance by tracking DOT inspections, CDLs, and MVRs
  • Assist with incident reporting, insurance packets, and damage documentation
  • Ensure all vehicles meet internal safety and equipment standards

Field & Driver Support:

  • Serve as the first point of contact for technicians with vehicle issues
  • Coordinate emergency roadside assistance or towing as needed
  • Respond to telematics alerts and help coach on unsafe driving behaviors
  • Coordinate fuel card administration, including issuing new cards and replacements

Data & Reporting:

  • Maintain and analyze fleet data using Excel or fleet management software
  • Produce reports on downtime, maintenance costs, and fuel usage
  • Identify patterns in mechanical issues or inefficiencies in scheduling

What We’re Looking For:

  • 2+ years' experience in fleet coordination, transportation logistics, or operations
  • Basic mechanical knowledge and ability to communicate vehicle issues to shops and vendors
  • Familiarity with DOT compliance and driver file management
  • Familiarity with fleet management and maintenance tracking systems (e.g., Samsara, Spireon, Geotab).
  • Proficiency in Microsoft Office Suite (Excel, Word, Power Point)
  • Strong communication, follow through, and organizational skills
  • Calm and solution oriented under pressure
  • Comfortable working in an office, and occasionally in the field
  • Must have valid driver’s license, with fewer than 2 moving violations in the last three years and no OVI/DUI/DWI violations in the last five years
